What Drives the Price of a Commercial Floor
Square foot pricing for resinous flooring covers an enormous range, and the spread is not arbitrary. Understanding what moves the number is the only way to compare two quotes that look different.
Prep is the biggest variable
A clean, sound, uncoated slab is the cheap starting point. Every deviation from that adds cost.
Removing an old coating, adhesive, tile mastic or sealer can cost as much as the new floor. Grinding down a failed epoxy across 20,000 square feet is a serious mechanical operation.
Repairs add up too: spalls, pits, cracks, joint filling, slope correction and transitions all take labor and material before a single coat goes down.
System and thickness
A thin roll-applied epoxy and a quarter-inch troweled urethane mortar are both resinous floors, and one can cost several times the other. The difference is material volume and installation labor.
Specialty resins cost more. Novolac for acid resistance, moisture mitigation membranes, and ESD-control systems all carry a premium over standard epoxy.
Decorative work adds labor. Full-flake broadcast, quartz and hand-worked metallic finishes all take more time than a solid color.
Schedule and access
Work performed during business hours in an empty building is the cheapest scenario. Nights, weekends, holiday shutdowns and phased installations all cost more.
Occupied buildings need containment, negative air and low-odor products, which adds both material and setup cost.
Moving equipment, racking or vehicles is either your cost or the contractor's, and it should be clear in the quote which it is.
Area and geometry
Price per square foot drops as area increases, because mobilization and setup get spread over more floor. A 1,500 square foot shop will always price higher per foot than a 40,000 square foot warehouse.
Cut-up spaces with many rooms, doorways, equipment pads and drains cost more per foot than open floor. Edges and details are hand work.
Coving, drain terminations and stair or ramp work are priced separately from field area for the same reason.
Comparing quotes fairly
Ask for the prep method and the target concrete surface profile. A quote that does not say how the slab will be prepared is not comparable to one that does.
Ask for the system, the manufacturer and the total dry film thickness in mils. Two quotes that both say epoxy may be describing floors that will last very different lengths of time.
Ask whether moisture testing is included and what happens if readings come back high. That is the most common source of a mid-project change order.
Ask what the warranty covers, for how long, and whether it covers labor as well as material.
Where quotes hide cost
The most common gap between a quoted price and a final invoice is preparation that was priced on assumption. A quote that does not state the preparation method has left itself room, because the difference between cleaning a slab and shot blasting it is substantial.
The second is moisture. Where testing has not been done before pricing, high readings discovered later mean either a mitigation membrane added as a variation or a contractor proceeding anyway and hoping. Neither outcome is good for the buyer.
The third is repair extent. Spalls, cracks and joint damage are genuinely unknown until the slab is opened up, which is why they are frequently priced provisionally. A provisional sum is honest; silence on the subject is not.
The fourth is what is excluded. Equipment moving, racking relocation, disposal of removed material, out-of-hours premiums and reinstatement of line marking are all real costs that sometimes appear in one quote and not another.
Cost over the life of the floor
Price per square foot is the wrong number to compare on its own. A floor costing a third more that lasts twice as long is cheaper, and the calculation is not close.
The larger figure is usually disruption rather than material. Replacing a failed floor in an operating facility means the downtime cost a second time, plus the removal of the failed system, which can approach the cost of the original installation on its own.
Maintenance costs differ too. A polished floor needs periodic burnishing and little else. A coated floor needs routine cleaning and a topcoat refresh at intervals. A bare slab appears free and is not, once dust control, cleaning labour and product contamination are counted.
The most useful comparison is annual cost over a realistic service life, including one refresh cycle. That framing usually reverses the ranking produced by comparing installed price alone.
A sensible way to run the tender
Give every bidder the same information. Vague scopes produce quotes that differ because the bidders assumed different things rather than because they priced differently, and comparing those is meaningless.
State what the floor has to survive, not which product you want. Contractors who work in your building type will propose systems you had not considered, and that expertise is worth more than a specification written by the buyer.
Ask each bidder to state preparation method, target profile, system, manufacturer, total dry film thickness, moisture testing approach and warranty terms in writing. A bidder unwilling to commit to those in writing has told you something useful.
Ask for references in a similar building, and call them. Ask what the floor looked like after two winters, not after the handover photographs.
Budgeting realistically
Two habits make a flooring budget hold: allowing for what preparation might reveal, and pricing the whole scope rather than the field area alone.
A contingency for repair is not pessimism, it is arithmetic. The extent of spalling, cracking, joint damage and old adhesive is genuinely unknown until the slab is opened up, and every project that has run over on this was one where the contingency was zero.
The items outside the field area add up faster than expected. Coving, drain terminations, stair nosings, ramps, thresholds and equipment pads are all hand work priced separately, and a building with many small rooms costs considerably more per square foot than an open one of the same area.
Ancillary costs belong in the budget too: moving equipment or racking, waste disposal from removal, temporary heat in winter, out-of-hours premiums and reinstatement of line marking. Some contractors include these and some do not, which is a common reason two quotes are not comparable.
Over a longer horizon, budget for a topcoat refresh rather than a replacement. On a well-installed system the topcoat is sacrificial and renewing it at eight to twelve years restores the floor at a fraction of the original cost, provided it happens before traffic wears through to the build coats.
Where capital budget is genuinely constrained, phasing by area is usually a better compromise than reducing specification across the whole building. A correctly built floor in half the building outlasts a thin one everywhere.
Why pricing varies by season and region
Two identical floors quoted in different months or different markets can come back at meaningfully different numbers, and the reasons are worth understanding when comparing.
Season is the clearer factor in a climate like this one. Coatings have minimum application temperatures, and an unheated building in midwinter may need temporary heat to reach them. That heat costs money to hire, run and monitor, and it has to be maintained through the cure rather than just during application. Winter work in an unconditioned building therefore carries a real premium that has nothing to do with the contractor.
Demand cycles matter too. Shutdown weeks, holiday closures and the summer months concentrate a great deal of industrial flooring work into a small number of windows, and pricing in those windows reflects that. Work scheduled into a quieter period is frequently cheaper for the same scope.
Regionally, the largest variable is labour rather than material. Resin systems cost broadly similar amounts wherever they are shipped; installation labour, equipment mobilisation and prevailing wage requirements on certain projects do not.
The practical implication is that the timing of a project is a lever worth using. Where a floor is not urgent, planning it into a slower season or an existing shutdown can produce a better price and a better programme at the same time.
Common questions
Why is one quote half the price of another?
Almost always prep, thickness or both. A floor at 8 mils over a lightly cleaned slab and a floor at 40 mils over a shot-blasted profile are different products with different lifespans, even if both are described as epoxy.
Do you charge for a site visit and quote?
No. Commercial quotes require walking the space, checking the slab and understanding the operation, and that assessment is provided at no cost.
Should I always take the lowest quote?
Only if it is genuinely comparable on preparation, system and thickness. When a quote is substantially cheaper, the saving is nearly always in preparation or film thickness, and both of those are exactly what determines how long the floor lasts.
